A connected dental clinic management platform

Carebric is a SaaS platform designed to help dental clinics manage their day-to-day operations through a single connected system.

The challenge

Most dental clinics don't have one operational workflow.
Instead, information is scattered across:

This creates a deeper problem than inefficient screens.
The patient journey becomes fragmented.

01 — Overview

Designing a dental practice platform around the patient journey

Carebric is a dental practice management platform designed to bring the clinic's core workflows into one system—from patient registration and appointments to treatment tracking, prescriptions, pharmacy, inventory, billing, and analytics.

The first version focused on building the operational foundation of the clinic.

As the product evolved, I identified a more interesting opportunity: appointments in dentistry aren't independent events. They are consequences of treatment progression.

A patient completing a procedure today may need a recall after 5 days, 2 weeks, or several months depending on the procedure and treatment stage.

This led to the next product opportunity:

Can Carebric recommend the appropriate recall window based on the treatment the doctor has just completed?

02 — The Problem

Dental appointments aren't isolated calendar events

Most appointment systems are built around a simple model:

  1. Patient
  2. Appointment
  3. Appointment
  4. Appointment

But dental treatment doesn't work that way.

A patient's next appointment depends on what happened during the current visit.

For example, a treatment may require:

  • A specific healing period
  • A review after a certain number of days
  • A subsequent clinical procedure
  • Lab work to be completed
  • Multiple treatment stages
  • Periodic recalls

Consider a simple treatment journey:

  1. Treatment completed today
  2. Required waiting period
  3. Clinical review
  4. Next treatment
  5. Future recall

The doctor therefore needs to make a decision at the end of a visit:

“When should I see this patient again?”

Today, that decision can rely heavily on the dentist's experience and manual calculation.

Intentionally simple output.

Recommended: 5 days from today (Sept 21) · 3 PM

The complexity stays behind the interface.

The recommendation looks simple. The system behind it isn't.

The recommendation can bring together:

Treatment context

  • What was completed?
  • What comes next?
  • What interval is appropriate?

Patient context

  • When have they previously visited?
  • What appointment patterns exist?

Clinic context

  • Which appointment slot is available?
  • Specialist availability dates

03 — The Design Opportunity

Instead of asking

“How can we design better screens for a dental clinic?”

I reframed the problem as

“How can we create one connected workflow around the patient?”

Instead of designing separate experiences for:

  • Appointments
  • Treatments
  • Prescriptions
  • Pharmacy
  • Billing
  • Analytics

Carebric connects them through the patient.

04 — Product Vision

From disconnected tools to one clinic operating system

The Carebric ecosystem can be understood as four connected layers.

01

Acquire & Receive

  1. Patient inflow
  2. Reception
  3. Appointment
  4. Check-in

02

Treat

  1. Diagnosis
  2. Treatment plan
  3. Treatment progress
  4. Follow-up

03

Operate

  1. Prescription
  2. Pharmacy
  3. Inventory
  4. Billing

04

Understand

  1. Analytics
  2. Clinic performance
  3. Operational insights
  4. AI assistance

The important UX decision is that these aren't isolated modules.

They continuously exchange information.

05 — Understanding the Users

Carebric has three primary operational users

Receptionist

Goal: Keep the clinic moving.

Needs

  • Fast patient search
  • Appointment management
  • New patient registration
  • Check-in
  • Payment information
  • Follow-up management

Dentist

Goal: Treat patients efficiently.

Needs

  • Patient history
  • Treatment records
  • Treatment progress
  • Prescriptions
  • Previous visits
  • Treatment plans

Clinic Owner

Goal: Understand and improve the business.

Needs

  • Revenue
  • Patient trends
  • Appointment performance
  • Treatment performance
  • Inventory
  • Operational alerts

06 — Next Phase

An AI companion for clinic owners

The next phase extends Carebric beyond the people working inside the clinic to the person running it. A dedicated mobile app gives clinic owners a live view of how the practice is performing, without having to sit at the front desk to get it.

Where the clinic app is built for doing the work, the owner app is built for noticing. An AI layer reads the same connected patient data and surfaces what needs attention, instead of waiting to be asked.

What the owner app tracks:

  • Revenue and collections
  • Appointment performance
  • Treatment performance
  • Inventory and stock alerts
  • Operational bottlenecks

The owner doesn't go looking for problems. The app brings them forward.
